FAQs
TrialPad
TrialPad is a powerful legal document management and presentation tool developed for the legal profession for use in a trial, hearing, or ADR setting. Using TrialPad you can organize, manage, annotate, and store your documents and video while leveraging the portability of your iPad. TrialPad was designed by professional trial consultants who have helped lawyers present at trial for more than a decade Unlike PDF readers, it lets you create separate case folders, organize and sort important documents, and dynamically annotate and present them via its flexible output options. TrialPad's plug and play simplicity, and intuitive user interface, literally puts your next presentation into your hands.
Please refer to our Feature Comparison Chart.
Getting Started with TrialPad
TrialPad works with the universally accepted Adobe Acrobat file format (.pdf). Your Acrobat document may be just one page or hundreds of pages, it may be a photograph, or transcript, or any document that can be saved as an Acrobat file.
Please note that our recommended best practice is to use .pdf files whenever possible.
Additional supported formats include: JPG, GIF, PNG, TIF, Multi-Page TIF, and TXT.
TrialPad also imports DOC, DOCX, XLS, XLSX, PPT, PPTX, Keynote, Pages, and Numbers, but for these files our best practices recommendation is to convert them to Adobe Acrobat to maintain the formatting and look of the original document.
When you launch TrialPad you can open an existing case folder, or create a new case folder by pressing the plus (+) sign. In the first field you should enter the case style, in the second field you can enter additional case information.
There are three different ways to organize and view your cases: Icon, Thumbnail, and List. Your cases can also be organized in alphabetical (A-Z) and reverse alphabetical (Z-A) order, or by most recently opened. Use the search box in the upper right hand corner to search for a case by name.
You may want to duplicate a case as a backup to an existing case; or two lawyers, acting as co-counsel and using one iPad, may want to duplicate a case and organize their documents in different ways.
Importing Documents
Files can be imported using Dropbox, your iPad's Photos app, your iPad's Mail app, or connecting to iTunes on your computer.
- You can access your Dropbox account and import cases, with all folders intact, folders, or individual files using the Dropbox icon at the bottom of the screen in Cases view. See the Dropbox section of this FAQ for further detail.
- Images stored in your Photos app can be accessed and imported using the Photos icon at the bottom of the screen in Cases view.
- Documents can be imported one at a time using the Mail app on your iPad. Simply press and hold on any supported file attached to an email, select Open in... and choose TrialPad.
- Documents can also be imported into TrialPad using the File Sharing option under the Apps tab in iTunes when you connect your iPad to your computer.
To transfer documents from your computer to TrialPad, follow these simple steps:
- Connect your iPad to your computer with the USB cable.
- Launch iTunes if it does not launch automatically. (Always make sure you have the latest version of iTunes.)
- Under the Devices list on the left side, click on your iPad's name.
- On the right side of the screen, click on Apps tab at the top.
- Move the scroll bar on the far right all the way down so you can see the File Sharing section.
- On the left side, in the Apps list, select TrialPad.
- You can now drag and drop files from your computer to the TrialPad Documents window on the right side. They will immediately be transferred to your iPad. (You can drop multiple files at a time, however, Apple does not allow you to drop folders into this window.)
- The next time you launch TrialPad you will be asked to import these files into an existing case, or you can opt to create a new case.
- Once inside TrialPad, you can organize your documents into folders.
If you have followed steps 1 through 4 below, please see the Note at the bottom:
- You have received an email on your iPad.
- After you open the email you see the attached TrialPad supported file. If it is a large file you may have to tap on it to download it first.
- Once downloaded (if necessary), press and hold on the file and a pop-up should give you two or three choices depending on the apps you have installed on the iPad (I'll presume you have all three choices):
- Quick Look
- Open in "TrialPad" (or it might say another app name)
- Open In...
- If the second choice is not "TrialPad", select the third choice "Open In...". This should bring a list of apps that can open the file. Depending on the number of apps you have installed, TrialPad may not be visible initially and you may have to scroll down to select it.
NOTE: We have come across a situation where TrialPad was not visible in the scrolling list if you have about 10 or so apps already in the list. It seems that Apple has placed a limit on the number of apps that can appear on this list. The solution that has worked is to temporarily delete one of the apps that is on the list from your iPad. TrialPad should then appear and you can reinstall the deleted app for free after.
The first time documents are imported they are listed in alphabetical order. As additional documents are added, they are placed at the bottom of the Documents list. Simply touch one of the documents in the Documents list and it will appear in the preview window on the right.
If a document has more than one page, you can go to the next page by flicking up with your finger or pressing the Page Down arrow in the bottom right corner of the screen. You can also use the scroll bar on the right side of the preview window to browse quickly through the document, as well as a page counter at the top of the window.
Dropbox
- Open TrialPad.
- Click on Dropbox icon located between Plus and Photos icons at the bottom of the Cases screen.
- Log on to your Dropbox account by entering your email and password.
- Press "Select Files or Folders" button at lower left of the Dropbox window.
- Select the files or folders you wish to import by tapping the bubble to the left of the file or folder. A checkmark will confirm the selection.
- Press the "Import Selected Files and Folders" button.
- Select an existing case to import your files or folders into, or select Add New Case.
- The "Importing Files" prompt will confirm the file or folders are being imported. The time to import will vary based on the size of the file and your connection speed. Larger files may take significant time to import.
- Press Done when finished.
Import times vary based on file size and type of connection (3G or WiFi). So, a large file uploading in a 3G environment (or weak WiFi signal) will take substantially longer than a small file uploading in a WiFi environment with a very strong signal.
This closes your Dropbox session and logs you off. Next time you use the Dropbox feature you will have to log in again.
Document Management
You can create folders by pressing the plus (+) sign under the Documents, Videos, and Key Docs sections. This adds a folder to the top of the documents list. Rename the folder by pressing the Edit button, selecting the folder to rename, and pressing Rename. This brings up the Rename Item dialog box. TrialPad allows you to create as many nested folders as necessary for your matter.
While viewing evidence in the Documents, Videos or Key Docs sections, press the Edit button. Once pressed, you will see at the top that you can now sort your files by File Name and File Type. You can also select one of the check circles to allow you to Duplicate, Rename, Move, or Delete your files (multiple selections can be made for each action, except Rename).
If you want to manually reorder your files you can move them up or down in the list by pressing and dragging the three horizontal lines to the right of the file name.
NOTE: You can Move files to other folders within the same tab, and same Case, or even to another Case. However, it is not possible to move files to another tab, e.g. from Documents tab to Video tab.
Viewing and Editing Documents
Simply press one of the annotation tools to begin annotating your document.
The Callout tool will cut out and magnify an area of a document. Draw a marquee around the area you want enlarged after selecting the tool. You can have multiple callouts from a particular page, from different pages in the same document, or from two separate documents presented using split-screen (we'll discuss split-screen later). Tap the callout with two fingers to remove it from the screen. Best practice is to highlight, and then call out a section, as the highlight tool will not work on callouts. Also, the callout tool will not work on a document that has already been magnified with pinch-to-zoom.
Use the Highlight tool to draw a marquee around an area you want highlighted. It can be a single line or a whole paragraph. By pressing and holding this tool you will be presented with four color options for your highlighter (yellow, green, blue or pink).
Selecting the Pen tool allows you to draw or write on your document (remember to double-tap if you want to lock it on). This tool can also be used with the Whiteboard that we will discuss later. By pressing and holding this tool you will be presented with four color options (red, blue, green or black) and three stroke width options (thin, medium and thick).
The Redact tool allows you to redact from any document. By pressing and holding this tool you will be presented with black or white redaction color options.
NOTE: Redactions can be removed from a document by selecting the Clear tool.
When using the Laser tool, you can press and hold on any part of a document to simulate a laser pointer and draw your audience's attention to certain areas of the document. This tool also works across pages of different documents when used in split screen mode. By pressing and holding the laser tool, you will be presented with three color options (red, blue or green).
NOTE: A blue background or border indicates that a tool or option is selected or active. Annotation tools will turn off automatically after one use. Double-tap on the tool (similar to the shift-lock on the keyboard) and it will remain active until you press it again or select another tool.
This is a safety measure to prevent an accidental annotation, and to avoid an extra step of having to turn a tool off. We have found that once users make an annotation, they then want to move or zoom the document. Double-tap on the tool (similar to the shift-lock on the keyboard) and it will remain active until you press it again or select another tool.
Undo allows you to undo your annotations step by step. You have unlimited undos as long as you stay on the same particular document. Clear will instantly remove all annotations from a page. You cannot undo or retrieve cleared annotations.
The Rotate tool allows you to rotate a particular page of a document, or the entire document. The rotate tool will rotate in clockwise orientation and in 90 degree increments.
Press the Whiteboard tool it to bring up a white screen, then use the Pen tool to draw on it. You can also use the Highlight tool colors, or the black Redact tool to draw blocks. The Whiteboard tool keeps your drawing until you press the Clear button or go to another document.
NOTE: To save your drawing you must press the Fire button and a copy of the drawing will be saved to the Key Docs section, otherwise your drawing will be lost when you go to another document.
Documents v. Key Docs
The Documents section contains all your documents for a particular matter, the Key Docs section is for important documents or videos you may intend to use with a specific witness, or that you plan to display many times during the course of trial. The documents folder only holds clean copies of your documents, but you can pre-annotate a them using the Highlight, Pen, or Redact tools and then save those annotations as a Key Doc by pressing the Fire icon. You can also edit a video, and save the edited clip in Key Docs. All tabs can be categorized and organized into folders for witness, issue, trial day, or any other convention.
The Fire button, when pressed, saves the current page, or whole document, with any annotations, to the Key Docs tab. You may use this button to save a page, or the whole document, with different annotations made by different witnesses. Or, you may save a witness's Whiteboard drawing to Key Docs to show the jury during closing.
Annotations made on Documents are temporary until you designate that particular page or document a Key Doc by pressing the Fire icon. This allows you to mark up and annotate the same Document multiple times, and save different versions, for different witnesses.
Exporting Documents
The Export button gives you the option to email or print the current page, or whole document, with or without annotations that have been made to the document. Press the button for a dropdown menu which will allow you to choose how to export, email, or print your document. You can export a page, or whole document, to Dropbox in the same way.
Video
You can play a video file within TrialPad, but it has to be in the file format supported by the iPad.
According to Apple's website, the iPad supports:
H.264 video - up to 720p, 30 frames per second, Main Profile level 3.1 with AAC-LC audio up to 160 Kbps, 48kHz, stereo audio in m4v, .mp4, and .mov file formats.
MPEG-4 video - up to 2.5 Mbps, 640 by 480 pixels, 30 frames per second, Simple Profile with AAC-LC audio up to 160 Kbps per channel, 48kHz, stereo audio in .m4v, .mp4, and .mov file formats.
Motion JPEG (M-JPEG) - up to 35 Mbps, 1280 by 720 pixels, 30 frames per second, audio in ulaw, PCM stereo audio in .avi file format
TrialPad also offers very simple editing features, similar to what you would use on your iPhone. To edit a video press the Clip button and a new window will appear with the editing interface. Press and hold the in-point or out-point of the video file (it will turn yellow) and move it to the desired location. If you pause your finger on one of these points it will magnify the timeline to allow you to more precisely trim the video. When finished selecting your clip, press the Use button to create a new video clip that will be placed in the Video tab.
NOTE: You MUST disconnect the cable to any output device before editing the video as it will display on the output hardware even if you have Output set to Off.
If you want to grab an image from the video press the Screen Shot (camera) button below the video. An image of the particular frame of video you were looking at is placed in the Documents tab and can be renamed and moved into another folder.
Presenting Your Case
Besides your iPad or iPad2, you will need Apple's "iPad Dock Connector to VGA Adapter" (Apple part number MC552ZM/B), available at http://www.apple.com/ipad/accessories/ or your local Apple Store; a VGA cable (male to male) to connect from the VGA adapter to your projector; and flat panel monitor or a projector and screen. Many courtrooms and boardrooms already have a monitor or a projector and screen with the standard VGA connection, if this is the case in your venue, you will only need your iPad, the adapter mentioned above, and a VGA cable.
You can also use the new "Apple Digital AV Adapter" (Apple part number MC953ZM/A) with an HDMI cable to connect to an HDTV or other HDMI-compatible display.
If your court or venue only has composite inputs available (yellow, red, and white RCA connections), TrialPad also works with Apple's "Composite AV Cable" (Apple part number MC748ZM/A), but this is the least favorable option.
The Output slider allows you to display your documents on a projector or monitor.
When you first slide the Output to On, TrialPad defaults to Blank to prevent the accidental display of evidence to the audience, but it will also display a small "TrialPad for iPad" message on the screen (only if you have chosen Black or White as the background) to let you know that everything is connected and working properly. To present a document simply press the Present button. To hold a document on the output screen as you search for another, just press the Freeze button. To quickly remove a document from the screen, press the Blank button.
Slide your Output button to On. The Split Screen Button, which looks like two pages side-by-side, will appear. When you press this button, any document that is in the preview window will be placed on the left side of the screen and a blue border will appear around the document indicating that it is the active zone. If you tap on the right side, the blue border will move to the right side indicating that it is now the active zone. Any new document you select will be placed in the active blue zone. If you want to return to single-page mode, simply press the Single Screen button. Whatever zone has the blue border will now become the single screen image.
NOTE: Pages from the same document, or for two different documents can be compared. However, a document cannot be juxtaposed with a video.
As your document is displayed on the projector, simply pinch to zoom your document in the preview window. Once you let go, the document will be enlarged on the projector. You can also double-tap on the document to return to fit-to screen. Likewise, all annotations performed on the preview document are instantly displayed on the output screen. See the Annotation Tools section for more details on our Callout, Highlight, Pen, and Redact tools.
Miscellaneous
The only limitations are with the iPad itself. A 16GB iPad has been tested running TrialPad with thousands of pages of documents without a problem. However, some very large documents (such as engineering drawings) can slow down the display of documents and cause the iPad to run out of memory.
Yes. TrialPad will work on iPads and iPad2s of all sizes, whether 3G or WiFi.
Most modern courtrooms and boardrooms will have a VGA input to allow you to plug-and-play in their system. Older courtrooms may not have any built-in audio visual equipment so you may need to bring your own projector and screen, or rent them from a local provider.
Yes. Please see the Video section for more details.
Thanks to Apple's new iOS 5 update, you can now use TrialPad to present wirelessly. If you have an iPad 2 with iOS 5 and Apple TV running the latest software, you will be able to take advantage of AirPlay Mirroring. This will allow you to present without being physically connected to a projector or screen.
Requirements:
- TrialPad 2.0.35
- iPad 2 with iOS 5
- AppleTV (2nd Generation) with Software Update 4.4 [http://support.apple.com/kb/HT4448]
- (Note: Your iPad and AppleTV device have to be on the same WiFi network.)
TrialPad only mirrors the presentation screen, i.e. the part you want your audience to see, and not your file structure.
The default and standard background is black. TrialPad gives you the option to change the background to white, or gradient using the settings button at the bottom of the Preview screen.
- Is your file more than 1,000 pixels wide or 1,000 pixels tall?
- Does your document have a size in MB that is greater than the number of pages (i.e. 5 page document that takes up 10MB)?
- Was your file scanned at a resolution greater than 150 pixels per inch?
We have noticed that if a PDF contains OCR (Optical Character Recognition) data it will redraw the PDF file very slowly. OCR data is not needed by TrialPad but some vendors may OCR your documents as a normal course of business as they scan your documents. If you received your documents with OCR data already embedded in it, an easy solution is to re-print the document from Adobe Acrobat to a new PDF file using the Standard settings.
From the home screen, double-tap the Home button so all the currently running apps appear at the bottom, then press and hold any app icon until they start to wiggle, press the minus badges to close all the running apps. Then do a cold reboot of the device by pressing and holding the Home and Lock buttons for 10+ seconds until the device resets and WAIT until you see a white Apple icon (do NOT use "Slide to Power Off").
